- You have to use the option to set up a default generic chart of accounts setup
- Sage 50 should have Account Receivable, Account Payable and Inventory module that is enabled in Setup, User Preferences, View
- You have to create an expense account called Opening Balances Control Account, in Sage 50
- Then you have to go to Setup, Settings, Inventory, and Options then you have to check off the box that displays Allow inventory levels to go below zero.
- For information on the earliest transaction and the fiscal start that should be used for the new Sage 50 data file, consult SBCA.
- Select Settings, Opening Balances, and General Ledger in SBCA.
- To transfer the historical opening balances, the indicated date will be the fiscal year-end date for the new Sage 50 company.
- Consult an accountant as the Sage 50 Fiscal Start date may be one year earlier.
- If no transactions have been posted, move all Stock Items inventory items to the Non-Stock type or make sure that all Stock Items expense accounts in SBCA are set to a Cost of Goods Sold account rather than an Inventory asset account.
- You have to create a backup of your Sage 50 file that is called SBCA Integration company name date.
Section 3: To finish the setup you have to follow the Sage 50 integration wizard- You have to log in as sysadmin and Single-User mode and you have to close other windows
- Then you have to make a backup of your Sage 50 data in case you have not completed it as per Section 2
- Now you have to go to File, Sage Accounting, and then you have to select Set up Connection
- After that, you have to sign in with your Sage account email address
- Now, on the Authorize Application window, you have to click Allow.
- Select the Sage Business Cloud Accounting company to set a setup method at the window and then from the dropdown you have to select the SBCA company name and then you have to use the Auto Setup and then you have to click Start
- Once the connection is fixed and you get the Success window displayed on the screen, then you have to click Finish
Section 4: Downloading SBCA transactions- Based on the dates defined in Sage 50 (defined, Setting, Company Information, Current Year Dates), Sage 50 will only download transactions for one fiscal period at a time.
- If it doesn't already exist in Sage 50, Vendors, Customers, Accounts, and Inventory will also try to download when you try to download transactions.
- Go to File, Sage Accounting, and Download Transactions in Sage 50 to download transactions.
- After the download, you will get some errors related to mapping account and sales taxes
- To resolve the mapping issues you have to click on Start Connection Wizard
- Accounts Payable and Accounts Receivable don’t need to be mapped and it should be left blank
- In case you have multiple fiscal periods to download, then you will get Error: Error: "The date must be between ##/##/### and ##/##/###. If you want to process transactions in the next year, choose Start New Year or Change Session Date from the Maintenance menu to start a new year."
- This is normal and then starting a new year resolves this issue
- You have to verify that the financials in SBCA match Sage 50’s financials before starting a new year in Sage 50 in a newly created data file only
- Then you have to verify with an accountant as needed
- You have to repeat Section 4 as needed
- The download window will say Download Complete once you are in the latest current fiscal year, and then you have to click on OK.
